IMPORTANT UPDATE for Virtual Yale Station Users:
All @aya.yale.edu email addresses were migrated to the new YaleMail service in February, provided by Google Apps for Education. Reset passwords and instructions were sent to all VYS users who had not yet activated their YaleMail accounts on February 25-26. Please check the email account to which your VYS mail was set to forward for a message from aya@yale.edu with subject line "UPDATE: YaleMail - Google Activation Email - password reset."

What is YaleMail?

YaleMail is a Yale-branded email service for alumni on the Google Apps for Education platform,  offering a dependable, easy-to-use, fully-functional web-based email account on the Gmail platform. Users of the service can access their email from anywhere in the world via an Internet connection. You can also send emails using your @aya.yale.edu alumni address as the “from” address.
 


How do I get a YaleMail account?

If requesting a new YaleMail account, please log into your profile within the online directory and go to the YaleMail tab at the bottom of your profile page. Click the Edit button on the right, and follow the instructions on the next screen. You will need to provide another email address to which the Google activation instructions and a temporary password will be sent.
 


Is YaleMail the same as Virtual Yale Station?

No. YaleMail, the new Yale-branded alumni email service is a fully-functional web-based email account on the Gmail platform. You will be able to access your inbox from anywhere in the world via the web or handheld device, just as with any other Gmail account. You can also send emails using your @aya.yale.edu alumni address as the “from” address, which was not possible when using VYS with many email clients. 
 


I already have a Gmail account, why do I have to have another one?

To use the YaleMail service and have an @aya.yale.edu address, you will need to have a YaleMail Gmail account. If you used the Virtual Yale Station forwarding service but do not with to use YaleMail, please email AYA and let us know you would like us to deactivate your @aya.yale.edu address.
 


How do I activate my account?

Read the instructions carefully in the Google activation email message you received.  Go to the following url: https://admin.google.com/aya.yale.edu
Current Google/Gmail Users:

  • If you have a current Google/Gmail account(s), you will need to sign out in order to activate the new YaleMail account.
  • You may need to select Add a New Account if you have Google/Gmail account(s). Use your full @aya.yale.edu address and select Next.
  • Enter the temporary password sent to you in the Google activation email.  If you do not have access to that email, contact aya@yale.edu.  Create and confirm your new password.
  • If you get to a screen which instructs you to select either an Organizational Google Apps Account or Individual Google account select the Organizational Google apps account.  From there, enter your temporary password and select Sign In. 

If you receive the following message when trying to log in, please select the “sign into one of the existing accounts”, enter your @aya.yale.edu, select Next, enter your temp. pswd.

You need to use a Google Apps account to log into Google Admin Console.
You are trying to access Google Admin of aya.yale.edu but you do not have a valid logged in account for it.

If you would like your YaleMail messages to be forwarded to another email address, Gmail allows for forwarding set up, please read the instructions at the Gmail help page or view a short video.
 


Why does it say I need a Google for Work account?  What do I do next?
Our aya.yale.edu account is a Google Apps for Education account which is a subset of Google Apps for Work.  If available, please select “add an account” and proceed to enter your @aya.yale.edu email address and password.  If you do not see “add an account” but have a “learn more” option, please select the “learn more” at which point, you should have the “add an account” option to select.
 


How do I configure my account with Outlook? AppleMail?

Please refer to the Google instructions for information.
 


Can I set up my new YaleMail account to forward my emails?

Yes, you can easily forward emails sent to your @aya.yale.edu account to any address you choose. FYI for VYS users: Google requires that each YaleMail user set up email forwarding individually, so Yale was not able to set it up on behalf of alumni when creating the new accounts. To set up your new YaleMail account to forward your emails, please follow the instructions from this Gmail help page.

  1. Open the Gmail account that you want to forward from.
  2. At the top right, click the gear <image001.png>.
  3. Select Settings.
  4. Select the Forwarding and POP/IMAP tab.
  5. Click Add a forwarding address in the “Forwarding” section.
  6. Enter the email address you want to forward to.
  7. For your security, we'll send a verification email to that address. Open your other email account and find the confirmation message from the Gmail team. If you’re having trouble finding it, check your Spam folder.
  8. Click the verification link in that email.
  9. Back in your Gmail account, reload the page in your web browser
  10. On the same Forwarding and POP/IMAP page in Settings, check that Forward a copy of incoming mail is selected and your email address is in the drop-down menu.
  11. In the second drop-down menu, choose what you want Gmail to do with your messages after they’re forwarded, such as keep Gmail’s copy in the Inbox (recommended) or archive Gmail’s copy.
  12. Click Save Changes at the bottom of the page.
     

When I forward my emails, I want to delete them from YaleMail once they are sent. Can I do this?

Yes.  Once logged into your account, go to settings (gear icon on right), select Forwarding and POP/IMAP. Within the "Forward a copy of incoming mail," select delete Association of Yale Alumni's Mail's copy from the dropdown.



 


I am concerned about Google’s privacy and security policies.

Gmail for consumers and Google Apps for Education both run on the same infrastructure, however, Google Apps is a separate offering that provides additional security, privacy controls for education, work, and government customers. Google Apps for Education services don't collect or use individual's data for advertising purposes or to create ad profiles. Google will never sell or share your personal information.

What is Yale's privacy policy?

Why did Yale choose Google for its alumni email service?

Yale implemented Google Apps for Education accounts for Yale College students (known as EliApps) in 2011 and has been satisfied with the service.  As old infrastructure has been replaced, students in some professional schools and faculty in some departments/schools have also moved to EliApps.

 


When was Virtual Yale Station discontinued?

The Virtual Yale Station forwarding service was discontinued on Thursday, February 25, 2016. To continue to use your @aya.yale.edu address, you must activate your YaleMail (Gmail) account and log into this account to access email messages sent to your @aya.yale.edu address.
 


What happened to my @aya.yale.edu account after the migration to YaleMail? Did my @aya.yale.edu address change?

With the transition, your current @aya.yale.edu address became a fully-functioning Gmail account, hosted by Google’s Apps for Education. In other words, the @aya.yale.edu email address you had previously remains the same. There is no need to update friends and subscriptions with a different email address.
 


If I used Virtual Yale Station before but have not yet activated my YaleMail account, what has been happening to mail sent to my @aya.yale.edu address? Why didn't Yale set up all accounts to forward as before?

Messages sent to your @aya.yale.edu address are waiting for you in your new YaleMail inbox. To access your messages in your YaleMail inbox, you will need to first activate the account and setup a new password. Please see the activation instructions above. Google requires that each YaleMail user set up email forwarding individually, so Yale was not able to set it up on behalf of alumni when creating the new accounts.
